1. Welcome and apologies
The chair acknowledged the apologies from members and confirmed that, as the meeting was not quorate, members would be given until Monday 15 September 2025 to submit their comments on documentation remotely.

2. Document review: RTT and UPL update to include AI (enc 1, 1a, 1b, 1c, 1d, 1e)
The group were asked to review the update of the RTT and UPL DPIA, to include an LLM within the product, used to review clinic letters and identify actions for the administrators.
Opinion of the group
The group discussed the documents; there were concerns raised around the risks to patients and ensuring this is covered within the documentation.
Action
FDP IG team to update the documents with the comments that have been addressed within this meeting.
Decision of the group
The group are content to approve the updates to the documentation, with the caveat that the points raised are addressed and any other comments will be included in the DPIA updates.
3. Document review: Inpatient CCS DPIA update to include AI (enc 2, 2a)
The group have been asked to review the update of the DPIA, to include an LLM within the product, allowing the implementation of the Assisted Theatre Scheduling (ATS) module.
The module uses AI, in the form of LLMs, to identify important details from unstructured data – such as free text comments.
Opinion of the group
The group discussed the documents; there were concerns raised around the risks to patients and ensuring this is covered within the documentation.

4. Document review: Trust Co‑ordination Centre Local Incubator resubmission (enc 3, 3a, 3b)
The group reviewed this documentation in the previous week and appropriate updates were made. The group decision was for this documentation to be updated and resubmitted for approval.

The group reviewed this documentation in the previous week and appropriate updates were made. The group decision was for this documentation to be updated and resubmitted for approval.

The group discussed the documents and raised a couple of amendments within the DPIA.
