Processes and templates for making revalidation recommendations
One of the key duties of a responsible officer under the Responsible Officer Regulations 2010 and 2013 is “to make recommendations to the General Council about medical practitioners’ fitness to practise”.
The following documents offer examples how recommendation processes can be organised which can be utilised and/or adapted by designated bodies for their own setting.
The initial Process for Appraisal and Recommendation of Medical Practitioners document has all of the templates embedded and can be used as one resource, however these are also included individually and can each be used as stand-alone resources.
Template 1 – Annual Appraisal Checklist
Provides assurance to the responsible officer that the appraisal covers the required content and acts as a checklist for appraisers.
For completion by medical appraisers after an appraisal and for use by responsible officers’ revalidation administration teams
Template 2 – Guidance notes for appraisal and revalidation
Gives definitions and detail on key elements relevant to appraisal
For use at any time by all medical practitioners, appraisers and responsible officers’ revalidation administration teams
Template 3 – Four month notice to Medical Practitioner email/letter
Communicates what the doctor needs to do to ensure a timely revalidation recommendation
For use by for use by responsible officers’ revalidation administration teams to send to all medical practitioners four months prior to revalidation date.
Template 4 – Fitness to Practise letter (Clinical Governance/HR)
Requests assurance of the fitness to practise of a doctor independently from the appraisal process
For use annually by responsible officers’ revalidation administration teams to send (on the responsible officer’s behalf) to HR/ Clinical Governance leads of each organisation where doctor practises
Template 5 – Fitness to Practise letter (MD)
Requests assurance of the fitness to practise of a doctor in each of their roles independently from the appraisal process
For use annually by responsible officers’ revalidation administration teams to send (on the responsible officer’s behalf) to Medical Director of each organisation where a doctor has a role
Template 6 – Revalidation Checklist
Supports a consistent set of checks and assurances for each doctor
To be completed by responsible officers’ revalidation administration teams for the responsible officer to review during the process of making a recommendation to the GMC.
