Strengthening the rota process for resident doctors

Hampshire and Isle of Wight Healthcare NHS Foundation Trust has improved the timeliness, transparency and quality of rota production.

Resident doctors at the trust are now getting better information earlier, with clearer communication and a real say in rota design.

To streamline administration and reduce delays, Hampshire and Isle of Wight introduced a generic work schedule template, enabling more consistent and efficient rota production.

As a result, around 78% of resident doctors received generic work schedules on time (eight weeks before the rotation) for the February 2026 rotation. The remaining work schedules were jointly developed alongside resident doctors, the Guardian of Safe Working and their BMA representatives, to ensure the best rota pattern for safe working practices.  All resident doctors then received their personal rota pattern on time (six weeks ahead of starting placement), ensuring clarity and predictability ahead of the new rotation.

The trust also takes personal preferences into account where possible, inviting doctors to make requests that support their work–life balance.

Resident doctors have been involved throughout the redesign of Hampshire and Isle of Wight’s processes. Affected doctors were kept informed and invited to contribute to discussions on all proposed changes.

The trust is now consulting with all stakeholders — including resident doctors — on adjustments to address issues identified during implementation.
